Job Description

Core responsibilities:

 

  • Work as part of a team of Office Assistants supporting the administrative needs and department initiatives of Career Exploration.

  • Provide customer service at the front desk, greeting visitors and checking in students and alumni for appointments.

  • Communicate over the phone and via email, answering questions from various stakeholders or connecting them with appropriate support.

  • Manage career services platform by processing account requests, posting external events and jobs, and reviewing internship and job opportunities.  

  • Take student headshot photos during office hours.

  • Conduct research and gather data to develop resources and programming that facilitate internship and employment searches.

  • Support events such as employer visits and info sessions by managing setup, check-in, and resolving difficulties in a positive manner.

  • Maintain the cleanliness and organization of office common areas, restocking the coffee bar, and regularly updating the office whiteboard with relevant information.

  • Other duties as assigned.

  • Skills in building and maintaining collaborative relationships with other full-time and student staff to work effectively toward common goals.

  • Understanding of Handshake, Google Suite, Canva and other technology to effectively manage the needs of our department.

  • Work study is required for this position

  • Availability to work a recurring weekly schedule during office hours (M-F 8:00am-6:00pm) with occasional additional shifts for events outside of office hours.

  • Strong verbal and written communication skills. Comfort answering phones and speaking with students and staff in-person. Must be able to relay information to others clearly and accurately. Ability to adapt communication style to create a positive and welcoming environment for all members of our diverse community.

  • Comfort with computer software including spreadsheets and online databases. 

  • Comfort using a camera and working with fellow students to take professional headshot photos.

  • Attention to detail; able to follow processes consistently and maintain data accuracy.

  • Enthusiasm for working as part of a team and independently.

  • Ability to prioritize work and balance between ongoing responsibilities and special assignments, providing follow-up on progress.

  • Passion for serving the Macalester community

Benefits

Sick and Safe Time

  • Student employees accrue sick and safe time at an accrual rate of one hour for every 30 hours paid. 
  • Sick and safe time is not paid out upon departure.
