Job Description

Position Overview:

Under the guidance of the Assistant Director of Finance & Operations, the primary duties of this position focus on assisting with research and accurate spreadsheet compilation of study away costs for 150+ students per semester. This requires learning advanced functions of our VIA software.

Additionally, all CSA student workers share general office support and responsibilities including:

  1. Under the guidance of program advisors, assist in updating and maintaining accurate program data and program brochure pages in the VIA database software. In some cases, this person will train other student workers to help with budget sheets on those pages.

  2. Learn the resources available in the study away library, the different options Macalester students have to go abroad, the Macalester application and approval process, the program application process and deadlines. Be able to refer students to appropriate resources.

  3. When necessary, provide initial contact for Mac community and visitors by staffing the CSA front reception desk: answer phones, greet visitors, and make referrals to appropriate staff.

  4. When asked by a staff member: a) pick up and deliver mail, Document Services projects, and other deliveries on campus; b) provide general office support (data entry, mailings, projects and research); c) schedule appointments with staff and assist with processing subsequent study away applications; d) assist staff with preparation and sometimes attend special events, e.g., orientation, info sessions etc.

  5. Participate in student/staff employment meetings and trainings.

 
Job Requirements

Qualifications and/or Special Skills Necessary to Perform the Duties of the Position:

  • Work study is required for this position

  • Must be detail-oriented, maintain high standards of accuracy, and be highly organized; mathematical skills preferred

  • Computer skills: Excel and Google spreadsheets (experience in a professional setting a plus)

  • Ability to work independently once given an assignment; self-motivated

  • Able to readily ask questions and follow up with concerns or issues that arise

  • Ability to learn processes and procedures quickly

  • Respect for confidentiality; will be responsible for information about applicants, incoming students, current students, programs, policies, and billing costs

  • Demonstrated commitment to the mission of the IGC: to encourage, promote, and support rigorous learning, innovative scholarship, and meaningful service.

  • Willingness to perform clerical tasks in general support of the office. Some knowledge of standard office procedures: filing, copying, correspondence, powerpoint presentations, etc.

Sick and Safe Time

  • Student employees accrue sick and safe time at an accrual rate of one hour for every 30 hours paid. 
  • Sick and safe time is not paid out upon departure.
