Job Description

Office Assistants in Alumni Engagement provide administrative support to our team in a variety of ways. In this position you can expect to: 
 

  • Assist with office tasks to support the Alumni Engagement office, including creating mailings, RSVP lists, name tags, documents and spreadsheets, etc.;

  • Complete web updates for Alumni Engagement events, including Reunion and Mac in Your City;

  • Organize and assemble materials and packages for events and meetings;

  • Take inventory of departmental supplies;

  • Answer phones; utilize communication & customer service skills to assist alumni, campus partners & occasional walk-in visitors;

  • Monitor the Alumni Engagement email inbox and respond to or forward emails as appropriate;

  • Provide support to alumni navigating our online resources including our alumni directory and event registration system;

  • Work frequently in an online database;

  • Complete data entry, research, and other assigned projects as guided by Alumni Engagement team members;

  • Be an integral part of cultivating our active Mac alumni community by connecting alumni with other alumni; current staff, faculty, and students; and online and campus events.
     

Shifts for this position are scheduled between 8:30 am and 4:30 pm in consultation with the student & supervisor. Students may be able to work remotely, depending on available work and with supervisor permission.

 
Job Requirements

Work study is required for this position.

To be successful in this position, you must:

  • Be detail oriented, thorough, and organized;

  • Be dependable and responsive;

  • Be able to work independently and ask questions when clarification is needed;

  • Be able to maintain confidentiality, and to recognize and handle confidential information appropriately;

  • Possess general computer skills, the ability to navigate software (with training provided), and familiarity with creating basic documents and spreadsheets.

Sick and Safe Time

  • Student employees accrue sick and safe time at an accrual rate of one hour for every 30 hours paid. 
  • Sick and safe time is not paid out upon departure.
