Job Description

The Reservations Assistant is a vital member of the Facilities Services and Events teams. They are student leaders who oversee many areas of the campus while working with internal and external clients and other student employees to support event needs. They troubleshoot issues, provide a safe and secure environment at campus events, and provide audio-visual support for events held across campus as needed. Reservations Assistants will provide support for campus events seven days a week.

RESPONSIBILITIES:

  • Coordinate event information and troubleshoot problems that may arise with staffing, facility use, or event participants and notify the proper staff of concerns.

  • Assist with the scheduling of campus facilities and amenities on a day to day basis and respond to the needs of students, staff, faculty, and guests.

  • Inspects event spaces prior to scheduled events to ensure facility setup, audio-visual equipment setup, cleanliness, and lighting meet standards set forth by Events Operations professional staff.

  • Provide occasional sound, light, and audio-visual support for events in event spaces across campus.

  • Support and be available to assist at all campus events.

  • Manage event equipment inventory and resources and report damages.

  • Provide excellent customer service.

  • Ensure the policies and regulations of Macalester College are upheld.

  • Attend and participate in semesterly meetings.

  • Other duties as assigned.

  • There will be a mix of office work and event shifts associated with this role. Shifts available 8am-midnight, seven days a week.

QUALIFICATIONS:

  • Reliable, responsible, and punctual.

  • Strong leadership, organization, time management, and problem-solving skills.

  • Strong customer service skills.

  • Ability to lift and move tables, chairs and audio-visual (AV) equipment.

  • Ability to work with and troubleshoot computers, sound, light, and AV equipment. 

  • Ability to manage multiple tasks at the same time.

  • Willing to work evenings and weekends.

  • Excellent communication skills.

  • Ability to work independently and as a member of a team.

  • Attention to detail and ability to process detailed information quickly.

  • Sense of responsibility for facility operations.
